Bank statements — all accounts

Every business account for the period, including any you rarely use. PDF or CSV is fine.

Credit card statements

All business cards, including any personal card used for business spending.

Receipts for expenses over the threshold

Anything you have paid for that is not already showing on a statement we hold.

Sales invoices raised

Everything you have billed out this period, whether or not it has been paid.

Supplier bills received

Bills you have been sent, including ones you have not paid yet.

Loan and finance statements

Any business loan, finance agreement or asset finance for the period.

Payroll reports

Payroll summary for the period if you run payroll outside our system.

Anything unusual this period

New loan, asset bought or sold, grant, insurance payout, owner drawings — a one-line note is enough.

Subscription and software invoices

Recurring tools billed to the business.

How to use this list

The fastest month-end closes tend to share one thing: the client knows exactly what is wanted before the period ends, rather than being asked afterwards. Send the list on the last working day of the month, not the fifth of the next one.

Keep the wording in the client's language rather than yours. “Bank statements for all accounts” gets a faster response than “bank reconciliation support”, because one is a thing they can go and find and the other is a task you do.

And expect the same two or three clients to be late every month. That is normal, and it is the reason automatic reminders exist — chasing the same people by hand is the part of the job nobody costed for.
